Providing support to the Director and ensuring the effective and smooth running of the Ashbourne Day Nursery Group office based in Oxley Park, Milton Keynes. In addition to your PA duties you will have responsibility for working with the wider team, promoting their vision and ethos to ensure that a child-centred, safe and stimulating environment is provided all the time, every time!
Role & Responsibilities:
- Provide secretarial and administration support to the Director and general office support.
- Dealing with the Directors correspondence, prioritising and responding to post and emails. Dealing with telephone calls and enquiries and taking messages, fielding/referring information.
- Proactively managing the Directors diary; responding to requests for meetings/customer events.
- Planning and preparing travel schedules, including all arrangements.
- Meeting and greeting guests and visitors, ensuring they always have a positive experience.
- Taking ownership and initiative in resolving customer and supplier queries.
- Developing a positive and proactive relationship with colleagues, parents, customers and suppliers.
- Updating website and social media (Oxley Park).
- Supporting the production and communication of internal monthly Newsletter to all employees.
- Introducing weekly / monthly reporting, collating and inputting data and communication to the wider team.
- Supporting projects and co-ordination of nursery events.
- Supporting the in-house Accounts team: to ensure timely receipt of cash from customers, timely payment of suppliers, reconciliation of cash and credit card receipts etc…
- Organising and co-ordinating general nursery maintenance e.g. utilities, cleaners, nursery maintenance providers.
- Undertaking basic HR administration.
- General administrative office duties including; filing, ordering stationary and office consumables, scanning and photocopying.
- Ensuring confidentiality is maintained in the nursery.
Key Skills & Experience:
- Have previously worked at Director level.
- Previous experience of working within childcare environment would be an advantage.
- Proven experience of high quality administration work.
- Excellent secretarial skills.
- Previous experience of working with basic accounting practices would be an advantage.
- Numerate and able to work with and interpret financial data.
- High proficiency in MS Office, Excel and PowerPoint.
- Good level of understanding and confident user of social media.
- Excellent organisational skills with the ability to identify and own issues.
- Good time management skills, ability to prioritise workload and meet deadlines.
- Confident telephone manner and ability to convey professional image at all times.
- Ability to act on own initiative and work unsupervised.
- Strong interpersonal skills and able to deal with people at all levels.
- Able to work well in sometimes highly pressured environment.
- Excellent attention to detail.
- Analytical and problem solving attributes.
- Strong team player with cultural sensitivity.
- Agreeable and eligible to obtain Enhanced DBS Reference and able to provide original copies of required qualifications.
- Hold a full, valid UK or EU driver’s licence.
- A willingness to travel to other Nurseries in the Ashbourne Group.
